As part of akarmalife's commitment to safeguarding your personal data, and to comply with the General Data Protection Regulations 2018, we have set out the following privacy policy. The policy explains the type of information we collect and how we use it to provide our Service and the choices and rights you have in relation to the information we hold.
Information we collect
If you choose to contact us or receive a service from us, we will collect and store your Personal Data. This is any information you enter via the contact form on our website www.akarmalife.com, registering and making a transaction on our online booking system hosted by goteamup.com, and signing up to our newsletter via mailchimp.com.
We collect personally identifiable information relevant to the level of service you engage in, including name, email, password, gender, date of birth, information related to your health and emergency contact details; payment details, including credit/debit card information.
In addition, we collect Usage Data. This is information automatically created by using the Service. It includes the Internet protocol (IP) address used to connect your computer to the Internet; login; email address; password; computer and connection information and purchase history. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page.

When you conduct a transaction on our website, as part of the process, we collect personal information you give us such as your name, address, email address, gender, date of birth, information related to your health and emergency contact details. akarmalife.com is hosted on the Wix.com platform, our booking system on goteamup.com and we use mailchimp.com to distribute our newsletter. These Service providers supply us with the online platform that allows us to promote and deliver our Service to you. Your data may be stored through their data storage, databases and their general applications, as well as Third Party companies who are required to process data for the purposes outlined in this policy.

We contract Third Party companies and individuals to facilitate our Service, to provide an element of the Service on our behalf and to analyse how the Service is used. We utilise cookies, small text files saved by your browser, when you access the Service. We use session cookies to operate the service, preference cookies to remember your chosen settings and security cookies to keep the website and your data safe.
A permanent cookie remains on your computer after your session has ended. You can delete these by following the instructions in your browser. Session cookies are temporary and are deleted once you close your web browser. You can set your browser to not accept cookies however this will affect the websites functionality and use and some features will not work properly. For example, a cookie is required on logging in to the booking system so that as you navigate through the website, the system recognises you are still logged in.

We will retain and use your Personal Data only to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
Children's Information
We do not knowingly collect or retain personal information on children under 13 year's old unless provided by a guardian. In the event that we discover we have unknowingly collected personal data on someone under 13 without verifiable parental consent we will delete it as quickly as possible. Your rights and withdrawing consent
You can update your Personal Data within your account settings. Under certain circumstances you have the right to access and receive a copy of the Personal Data we hold for you, to request any changes to it and to request its permanent deletion.

Privacy Policy updates
We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.
Membership Terms and Conditions
It takes time for a new routine to become habit and to create change. That's why we have a minimum of a three month commitment when you take out a membership with akarmalife studios. The membership is non-transferable. The membership may be cancelled at any time after the first three months. If cancellation is less than 21 days before the next payment is scheduled you will be billed and your membership will continue until the end of the following month. Payment details are securely stored in our system for the duration of the membership.
Memberships bill every month. The first payment is due on the membership's start date and is prorated. Each membership entitles you (the membership holder) to a set number of classes per month offered by akarmalife studios. Some classes, course and events may be excluded from this membership or incur an additional cost. Members may register for any class included in their membership where there is an available space. Members can set up recurring registrations to attend the same classes each week, unless there is an additional cost for the class.

There is a 2.5 hour minimum class cancellation policy to enable us to offer the space to people on the waiting list (an overnight black out period between 10pm-6am applies). Failing to cancel a class you can no longer attend within this time period or a no-show results in losing that class. Cancellations are made via the akarmalife booking system only (telephone, email and Facebook cancellations are not accepted). We feel that this is a fair policy and understand that unexpected things happen like family emergencies and getting stuck on trains. Each membership is priced for number of classes per week, however, we set a monthly limit to the number of classes for each membership. This means you don't miss out when there are extra days in the month or for that rare occasion you are unable cancel within the 2.5 hour notice period. The monthly class limit also means you can do your classes around holidays or make them up if you miss because of illness within the same calendar month.

Purchasing multiple memberships
Where a Member purchases multiple memberships (rather than upgrading or downgrading) we will credit the members account minus an administration fee of £15. The credits can be used against workshops, courses or classes whilst they are still operating their membership. There will be no monetary refund. If a member decides to leave without the credits having been fully utilised the balance will be automatically zeroed and they will lose any remaining credit.
Upon the membership being re-activated their account will be set back to £0 and any classes will need paying for going foward as per our normal memberships Terms and Conditions.
Where a membership is suspended by us due to ill health, sickness or any other reason and they have credit we will make a discretionary decision on a case by case basis with regards to that credit.
Holiday periods
We reserve the right to amend the class timetable and reduce the classes that are on offer over holiday periods, including Bank Holidays, Easter, Christmas and New Year. No refunds will be offered. Classes will be credited as per our normal procedures and any class credits need utilising within that calendar month in any other class on the class schedule.
Cusp of a Month
Where a class is credited on the Cusp of a month, for whatever reason, the class credit will be lost and not carried forward into the following month.
Teacher availability
Whenever classes cannot be covered and no other teacher is available to cover due to holidays, sickness, health, family issues or emergencies we will credit back the cancelled class to the members account to be used within that Calendar month for use in any other class on the class schedule.
Late cancellation
In the event of emergencies where a teacher cancels a class at short notice we will credit the members account to be used within that Calendar month in any other class on the class schedule.

akarmalife studios reserves the right to suspend the membership holder's ability to book a recurring reservation in the event of repeated failure to cancel classes and for no-shows.
Workshop & Course Booking Terms
*Covid -19 Update * Courses are now back in the studio. However, it may be necessary to pause a course if restrictions are enhanced, and to continue once we are back in studio again.

We have a cancellation policy in place out of respect for everyone's time and commitment. Minimum numbers are required to compensate teachers for their time and to run courses and workshops. We recommend you read the terms and conditions before committing to ensure you are happy to go ahead with your booking.
Full payment is required at registration. Should you need to cancel your booking our policy is:
- More than 14 days before the start of a course or workshop, full cost minus 10% cancellation fee refunded.
- Less than 14 days before the start, a 50% cancellation fee or transfer to another course, workshop or event to the same value (valid for only one transfer and for use within six months).
- Less than 48 hours notice we regret that we are unable to offer any refund or transfer.
akarmalife studios reserves the right to cancel a course or workshop due to insufficient numbers. In this instance we will provide a full refund.
